Role Title: Executive Assistant
Reports To: Owner, Avio

Role Overview: The Executive Assistant is the strategic right hand to the Owner of Avio, who leads multiple Medtech companies. This executive is constantly innovating, managing high‑impact initiatives, and operating across several fast‑growing ventures. The ideal candidate brings structure, anticipates needs, and thrives in a fast‑paced, dynamic environment that requires agility, sound judgment, and proactive problem‑solving.
Key Responsibilities
Executive Support & Strategic Leverage:
- Manage and optimize a highly dynamic calendar spanning multiple companies.
- Handle inbox management, communication drafting, and follow‑through.
- Prepare briefs, agendas, presentations, and research to support decision‑making.
- Coordinate domestic and international travel across multiple time zones.
Cross‑Company Coordination:
- Serve as a central point of coordination between Avio and affiliated companies.
- Partner with department leads, clients, vendors, and strategic partners.
- Track commitments, deadlines, and executive priorities.
Operational Excellence:
- Build and refine systems, processes, and workflows that support efficiency.
- Support budget tracking, vendor coordination, and contract organization.
- Identify and address operational bottlenecks proactively.
Project & Innovation Support:
- Assist with special projects and new venture initiatives led by the Owner.
- Conduct research on technology, market trends, and regulatory topics.
- Help translate early‑stage concepts into structured project outlines.
Confidentiality & Judgement:
- Handle confidential information with absolute discretion.
- Exercise strong judgment, professionalism, and decision-making.
Qualifications
Required:
- 5+ years of executive support experience (supporting C‑suite or founders preferred).
- Exceptional organizational and prioritization skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft 365 and Google Workspace.
- Experience managing complex calendars and travel.
- Ability to work independently, think critically, and proactively anticipate needs.
Preferred:
- Experience in Medtech, healthcare, startup, or high‑growth environments.
- Strong analytical abilities and research skills.
- Comfortable supporting innovation‑driven and multi‑company workflows.
